Legal Department Administrative Assistant

Position Summary:
Provides administrative support for Schroeder & Trahan legal staff. Assists in coordination and preparation of meeting agendas, minutes, documentation, and maintaining records.

Reporting Relationship:
Reports directly to the Insurance Operations Support Manager and Director of Legal

Essential Functions/Responsibilities:

  • Works in a cooperative manner with management, coworkers, customers, and vendors; seeks to support Schroeder & Trahan’s mission and vision in daily operations 
  • Meets assigned target dates and objectives; helps ensure that department quality, service, and productivity standards are met 
  • Creates and maintains filing in Legal Files and department electronic drives, keeps accurate records, insures all correspondence is appropriately placed in files with clear and specific labeling of all records and documents as outline in Legal Department manuals
  • Coordinates preparation of agenda for Legal Department Staff Meetings as well as Legal Assistants Meeting and transcribes all minutes
  • Coordinates preparation of all reports including monthly productivity reports and reports for Board of Directors; prepares and coordinates records, statistics, and other reports as needed
  • Schedules and organizes activities such as meetings, travel, conferences and department activities for all members of the department
  • Scheduling of all case related appointments for assigned Director of Legal and assigned Trial Attorney
  • Transcribing of dictation for all claim files for Director of Legal and assigned Trial Attorney
  • Billing of all file related charges for Director of Legal and assigned Trial Attorney
  • Responsible for forwarding all scanned mail to Claims Department on claims for Director of Legal and assigned Trial Attorney
  • Responsible for requesting checks for all filing fees and other case related expenses
  • Responsible for opening files in Legal Files and preparing all initial letters as well as closing files in Legal Files for Director of Legal and assigned Trial Attorney
  • Acts as liaison with other departments
  • Works independently and within a team on special non-recurring and ongoing projects.
  • Acts as project manager for special projects at the request of the Director of Legal or Insurance Operations Support Manager which may include planning and dissemination of information and creating documents
  • Maintain diary system for accurate and timely follow up of work in progress in department and for recurring time-sensitive tasks or projects; organizes and prioritizes workload to meet deadlines
  • Responsible for the preparation, input and documentation of Legal department budget process in conjunction with the Director of Legal
  • Submits all Director of Legal, Trial Attorneys and vendor expenses for reimbursement
  • Receives and directs all incoming telephone calls
  • Responsible for ordering and maintaining department supplies

Secondary Functions/Responsibilities:

  • Other responsibilities and special projects as assigned

Education, Experience and Skills Required:

  • High school graduate
  • Ability to type and use office equipment such as calculator, copier, fax, and dictation equipment
  • Ability to organize and analyze information
  • Strong customer focus and team orientation
  • Ability to appropriately handle confidential or sensitive company information
  • Excellent verbal and written communications skills with the ability to interact and work effectively with clients, vendors, and employees at all levels within the organization
  • Ability to manage time, set priorities, and work independently 
  • Proficiency in the use of Microsoft Office programs

Education, Experience and Skills Desired:

  • Legal industry experience
  • 2 years of administrative assistant experience
